A time card calculator computes total hours worked from clock-in and clock-out times, applying overtime rules and calculating gross pay. Used for hourly employees to track work hours over a pay period.
💡
Tip: Round employee time consistently and in their favor. The US Department of Labor allows rounding to the nearest 5, 6, or 15 minutes, but only if it averages out fairly over time and doesn't consistently shortchange workers.
- 1Calculate duration for each shift: clock-out minus clock-in
- 2Subtract unpaid breaks if applicable
- 3Sum all shifts over the pay period
- 4Apply overtime: US federal law requires 1.5× for hours over 40/week; some states add daily overtime (>8hr/day)
9:00 AM to 5:30 PM, 30min unpaid lunch=8.0 hours8.5 hours − 0.5 break = 8.0
Mon–Fri: 9 hours/day = 45 hours=40hr regular + 5hr overtime (1.5×)At $20/hr: $800 + $150 = $950 gross
| Jurisdiction | Overtime Threshold | Rate |
|---|---|---|
| Federal (FLSA) | >40 hrs/week | 1.5× regular rate |
| California | >8 hrs/day or >40 hrs/week | 1.5× (>12 hrs/day = 2×) |
| Alaska | >8 hrs/day or >40 hrs/week | 1.5× |
| Nevada | >8 hrs/day (if earning <1.5×min wage) | 1.5× |
| Most other states | >40 hrs/week only | 1.5× |

Fun Fact
The 40-hour workweek was established in the US by the Fair Labor Standards Act of 1938. Henry Ford helped popularize it earlier — his research at Ford Motor Company showed that productivity actually increased when workers moved from 6 to 5 days per week.
